Why Dentists Struggle with Delegation

Dentists are high achievers. You built your practice through effort, excellence, and high standards. But those strengths often become barriers as your business grows.

Common delegation roadblocks:

  • “It’s easier if I just do it myself.”
  • “I don’t trust someone else will do it right.”
  • “We tried delegation before, and it backfired.”
  • “My team is already stretched thin.”

But the problem isn’t delegation itself. The problem is unclear instructions, poor follow-up, or a mismatch between task and person.

1. Identify What to Delegate

Sort your tasks into two categories:

  • Keep: Strategic planning, leadership, advanced clinical care
  • Delegate: Scheduling, billing follow-up, basic communication, workflows

Ask yourself:

  • Am I the only person who can do this?
  • Is this task directly tied to patient outcomes?
  • Could I train someone to handle this just as well?

2. Use the “Who + What + Why” Delegation Formula

Vague instructions create frustration. Clear delegation creates results.

Who - Assign a single person by name

What - Define the task, the deadline, and the quality standard

Why - Explain how it connects to the patient experience or practice goals

Example:

Instead of: “Can someone check the insurance backlog?”

Say: “Angela, please review the 12 overdue claims today and log updates into Dentrix. This helps reduce cashflow delays.”

Clear delegation prevents confusion, builds trust, and boosts execution.

3. Create Accountability Loops

The number one cause of delegation breakdown? Lack of follow-up.

Here’s how to close the loop:

  • Check-In Schedule: Add 2-minute reviews to morning huddles
  • Simple Tracking: Use whiteboards, task lists, or Slack to track commitments
  • Feedback Framework:
    • Praise wins publicly
    • Course-correct privately
    • Stay calm, consistent, and clear

    When your team knows follow-through is expected - and appreciated - ownership becomes the norm.
