Transfers happen every day:

  • From the front desk to the hygienist
  • From the assistant to the doctor
  • From the clinical team back to the front desk
  • From your practice to a specialist - or to another practice altogether

Think of every handoff as a chance to:

  • Build continuity across the team
  • Help the patient feel seen, understood, and supported

Most practices treat these like afterthoughts. But patients notice everything - your tone, your alignment, your attention to detail.

Step 2: Map Out the Core Transfer Points

Here’s where to focus:

1. Front Desk → Clinical Team (Hygienist or Assistant)
The moment the patient enters, they should feel expected and understood.
Key transfer details:

  • Appointment type
  • Special concerns noted in records
  • Insurance or financial flags
  • Today’s specific goal

2. Hygienist or Assistant → Doctor
This is often where trust is won or lost.
The key? Deliver the transfer in front of the patient.

Now the doctor walks in already connected - and the patient feels heard.

3. Doctor → Team + Patient
Once an exam or procedure is complete, the next steps need to be shared out loud.

  • What was done
  • What comes next
  • What the patient should expect

This gives the patient the confidence that everyone is on the same page.

4. Clinical Team → Front Desk
When the patient is walked back up, this transfer ensures:

  • Follow-up appointments are scheduled appropriately
  • Financial conversations go smoothly
  • Any remaining questions are addressed with care

Step 3: Use Patient-Facing Communication in Every Transfer

Patients feel more trust when they’re included in conversations - not passed around like a clipboard.

Train your team to:

  • Speak aloud in the patient’s presence
  • Summarize what’s been done and what’s next
  • Confirm patient understanding at each stage

✅ Offer a gracious send-off:

“We’ve truly appreciated being part of your care. If you ever need anything down the road, we’re here.”

✅ Ask for feedback:

“We’re always looking to improve - was there anything we could’ve done better?”

✅ Follow up with a thank-you note or email (where appropriate)

These gestures stick with people. A positive exit experience makes them far more likely to:

  • Leave a kind review
  • Recommend your office
  • Return if their new practice doesn’t meet expectations
