Example phrasing:
“We’re implementing this new schedule because it aligns with our goal of reducing patient wait times and improving daily flow.”

2. Clarity: Define What’s Changing (and What’s Not)
Ambiguity breeds anxiety.
Communicate with precision:
- What’s changing
- What’s not
- Who’s responsible
- When each phase happens
Example phrasing:
“Starting July 1, we’ll begin using our new patient intake software. Front office training starts next week. Clinical team workflow will not be affected.”
Use visual tools:
- A one-page change summary
- Color-coded checklists by department
- FAQs for staff to reference
3. Confidence: Lead with Calm, Not Chaos
Your tone sets the temperature of the room.
Lead with:
- Poise
- Positivity (without sugarcoating)

Say this, not that:

“Let’s take two minutes on our new scheduling system. What’s working well? What challenges are you experiencing? What support do you need today? Remember, we’re doing this to [core purpose], and I appreciate your adaptability.”
