I’m writing this from 35,000 feet on my way home from Dubai.

Between venue scouting, team strategy sessions, and back-to-back partner meetings, what struck me wasn’t the pressure of the packed schedule.

It was how intentional time protection becomes non-negotiable when the stakes are high.

When you’re building something that matters, time either serves your vision or sabotages it.

Time either magnifies your intention or exposes your lack of it.

You don’t get more hours. You get more strategic about the ones you have.

That’s why this newsletter focuses on the system that transformed my practice leadership from reactive chaos to proactive clarity: time blocking.

Why Traditional Scheduling Fails Practice Leaders

Most dentists manage their time like they’re still associates.

They fill gaps, accommodate requests, and wonder why their most important work never gets done.

The problem with traditional to-do lists:

• They don’t protect your highest-value activities

• They treat all tasks as equally urgent

• They ignore the reality of how long strategic work actually takes

• They leave you vulnerable to constant interruption

Time blocking turns your calendar into a strategic asset.

Instead of hoping important work happens, you architect when it happens.

Instead of reacting to everyone else’s priorities, you protect space for what moves your practice forward.

1. Block Your Non-Negotiables First

Before anyone else claims your time, protect space for the activities that only you can do.

• Personal energy management (exercise, reflection, recovery)

These go on your calendar first, before patient care, before staff requests, before vendor meetings.

Group similar responsibilities to minimize mental switching costs and maximize deep work.

• Friday: Financial review and strategic planning

• Fifteen-minute walks between complex cases

• Thirty-minute lunch breaks away from the practice

• Buffer time for unexpected clinical complications

• End-of-day reflection and tomorrow’s preparation

If you don’t schedule recovery, your body and mind will eventually force it through burnout, illness, or decision fatigue.

4. Build Smart Buffers Into Your System

Time blocks work best when they breathe.

Buffer strategies that work:

• Fifteen minutes between major activities

• Thirty-minute cushions around complex procedures

• Travel time built into off-site meetings

• Same-day emergency slots for urgent patient needs

Without buffers, one delayed case can cascade into a day of stress and rushed interactions.

5. Protect Your Blocks Like Clinical Standards

If strategic work is scheduled, it’s protected.

When someone requests your blocked time:

• I have a commitment during that window. Let me offer you these alternatives.

• That time is reserved for practice development. Here’s when I’m available.

• I can move that block to later in the week if this is urgent.

If you don’t defend your time, someone else will decide what gets done.

The Most Common Time Blocking Mistakes Practice Leaders Make

Mistake one: Overpacking the day

Time blocks only work when they’re realistic. A twelve-hour day of back-to-back blocks isn’t sustainable or effective.

Mistake two: Rigid perfectionism

Life happens. Emergencies occur. Shift the block instead of abandoning the system entirely.

Mistake three: Prioritizing everyone else’s agenda

You’re the practice leader. Your calendar should reflect strategic priorities, not just reactive availability.

Mistake four: Treating time blocks as suggestions

If it’s on the calendar, honor it. Otherwise, you’re training everyone including yourself that your priorities are negotiable.

Time Blocking in Action: A Practice Leader’s Day

6:00 to 7:00 AM: Personal energy management (exercise, reflection, planning)

7:00 to 8:00 AM: Strategic thinking and day preparation

8:00 to 8:30 AM: Team huddle and alignment

8:30 to 12:00 PM: Patient care (protected clinical time)

12:00 to 1:00 PM: Leadership lunch (team development or strategic calls)

1:00 to 4:00 PM: Patient care and case completion

4:00 to 5:00 PM: Business development and practice optimization

5:00 to 5:30 PM: Day wrap-up and tomorrow’s preparation

Notice how this schedule protects time for leadership work while maintaining clinical excellence and team development.

Creating Your Personal Time Blocking System

Week one: Audit your current reality

Track how you currently spend time for one week. Identify where your energy goes versus where it should go.

Week two: Design your ideal framework

Based on your practice goals, block time for non-negotiables first. Add patient care around your leadership priorities.

Week three: Test and adjust

Implement your system and notice where it works well and where it needs refinement.

Week four: Optimize and commit

Fine-tune based on real-world results and commit to protecting your blocks consistently.

• Strategic work gets done consistently instead of being postponed indefinitely

• Decision fatigue decreases because your days have intentional structure

  2. Block two hours this week for one of these priorities and protect that time absolutely
  3. Choose one theme day to implement next week, like Wednesday mornings for strategic planning
  4. Schedule one recovery block daily even if it’s just fifteen minutes of walking or reflection
  5. Practice saying no to one request that conflicts with a protected time block
